End-User License Agreement

This End-User License Agreement governs access to and use of CPA Support Desk, including the web portal, invoice workflows, client workspaces, AI features, and optional QuickBooks Online integration.

1. Acceptance

By creating an account, accessing the portal, connecting QuickBooks Online, or using CPA Support Desk, you agree to this Agreement. If you are using the platform for a company, CPA firm, or client workspace, you confirm that you are authorized to accept these terms on its behalf.

2. License to Use the Platform

CPA Support Desk grants you a limited, non-exclusive, non-transferable, revocable license to use the platform for lawful accounting, financial workflow, invoice, document, collaboration, and client workspace purposes.

3. Authorized Users and Responsibilities

  • You are responsible for maintaining the confidentiality of account credentials.
  • You must ensure that users invited to a workspace have appropriate authority to access that workspace.
  • You are responsible for the accuracy of invoice, payment, tax, category, client, vendor, and ledger information entered or approved in the platform.
  • You must not use the platform for unlawful, fraudulent, infringing, abusive, or unauthorized activity.

4. Financial and Accounting Information

CPA Support Desk provides workflow tools and automation support. The platform does not replace professional judgment. Users are responsible for reviewing invoices, taxes, categories, ledger entries, AI suggestions, and QuickBooks publishing results before relying on them.

5. QuickBooks Online Integration

If you connect QuickBooks Online, you authorize CPA Support Desk to access the connected QuickBooks company for the limited purpose of syncing account/vendor/customer references and publishing documents that you manually approve.

  • Sales records may be published as QuickBooks invoices.
  • Purchase and expense records may be published as QuickBooks bills.
  • Attachments may be copied from Firebase Storage into QuickBooks when you publish a document.
  • Publishing is user-triggered from invoice detail pages and is not automatic during upload or creation.
  • You can disconnect QuickBooks from the Profile/Settings page.

6. AI-Assisted Features

AI features may help extract document data, suggest categories, summarize financial activity, identify possible issues, or draft communications. AI output may be incomplete or incorrect and must be reviewed by the user. CPA Support Desk is not responsible for decisions made solely from AI output.

7. User Content

You retain ownership of content you upload or create, including documents, invoices, client records, and workspace data. You grant CPA Support Desk permission to host, process, display, transmit, and use that content as necessary to provide the platform and connected services.

8. Restrictions

  • Do not attempt to bypass access controls or view another company’s data without authorization.
  • Do not reverse engineer, scrape, overload, resell, or misuse the platform.
  • Do not upload malicious files, illegal content, or data you do not have permission to process.
  • Do not use the platform to send spam or unauthorized communications.

9. Availability and Changes

We aim to keep CPA Support Desk reliable and secure, but access may occasionally be interrupted due to maintenance, third-party service issues, network conditions, or updates. We may update, improve, suspend, or discontinue features as needed.

10. Disclaimer

The platform is provided on an “as is” and “as available” basis. CPA Support Desk does not guarantee that every OCR extraction, AI suggestion, tax calculation, QuickBooks sync, or accounting output will be error-free. Users should verify important records before filing, reporting, billing, or making financial decisions.

11. Limitation of Liability

To the maximum extent permitted by law, CPA Support Desk will not be liable for indirect, incidental, special, consequential, punitive, or lost-profit damages arising from use of the platform, third-party integrations, user-entered data, or AI-assisted outputs.

12. Termination

We may suspend or terminate access if there is misuse, security risk, non-payment, violation of this Agreement, or legal requirement. Users may stop using the platform and request account/data handling support by contacting us.
